TLDR: Accessibility accommodations made from the get-go and baked into the convention/event plan will improve everyone's experience.

Honestly these have been issues for a long time, maybe since the beginning. In 2016, there were a number of spaces & events that excluded anyone needing accessibility assistance. I had to sit on the floor multiple times as there were limited chairs. I nearly passed out from lack of water stations.

I'm not sure where the disconnect is with the North American Fan Fests, but it's been going on for years. My time in 2016 was full of similar problems.

I don't know who at SE needs to read this to realize that assuming only 100 people will need assistance is bonkers.
ADA is there for everyone. If you have diabetes and need space to take insulin. If you have food allergies and require outside food. This applies to a lot of peeps!
