TL;DR: 3 steps to make the co-writing process go smoothly

1: Set the premises of your collaboration
- responsibilities, timeline and communication

2: Plan your paper writing (process)
- story, target journal, authorship

3: Revising the draft together
- seeking feedback

• Send the completed draft to your co-authors for a final read before submitting it.

• If you don't agree with suggestions from your co-authors, seek the discussion. If no agreement can be reached, open the topic up to the whole group keeping in mind who everyone agreed will have the final word.

• Give clear instructions about the type of feedback you want from your co-authors on the draft (e.g. sentence structure, section structure, typos...)

• Edit the whole draft so that is concise and coherent.

Tips for the author in charge of the writing process:

• Which program will you use to write the paper? 🖥️

Try to avoid having every co-author writing their part of the manuscript in a different program. Consider a collaborative writing tool such as Authorea, Overleaf, Google Docs or Word Online.

• What is your timeline for the paper? 📅

You probably need to revise your initial plans. Define when you expect co-authors to deliver their part of writing and when you expect to have a first draft.

• Who is going to have the final word? 🗑️

To prevent disputes later on, decide who of you will have the power to decide e.g. how title, abstract and conclusions are going to be written.

• Who is going to write which part of the paper? 📄

Don't forget to discuss who is going to write/co-write the Introduction and Discussion.

• What is your target journal going to be? 📓

You'll save yourselves a lot of work if you decide beforehand which journal you're going to submit your work to at the very beginning of the writing process.

• What is the story of your paper going to be? 🎯

All co-authors should agree on the central message of your paper, the key findings you are presenting, the storyboard and what problem your paper is solving.

• Who is going to be first and last author and what is the order of authorship for the other authors going to be? ✍️

The first or last author should be in charge of the writing process.

Once you have data and think you have a story, don't start writing immediately but discuss the writing process first.

• How will you communicate and what are acceptable response times? 📧

Email is often the default but also consider platforms such as Slack or the comment function on Trello boards. Define expectations on how quickly you expect each other to hear back.

Make sure every collaborator has enough time available to complete the tasks they signed up for. Even though it's often hard, I recommend agreeing on a date you want your manuscript submitted.

Every member of the collaboration should have a specific task they can be held accountable for.

That person is responsible for keeping the project on track, arrange meeting and likely be the first/last author of the resulting paper
